An electrician's workflow,
from enquiry to invoice.
A lot of the admin around an electrical job ends up after hours: the quote, the reminder, the invoice, the chase. This page draws one way that work can run by itself, and marks every point where you decide.
The electrician workflow, step by step.
Read it top to bottom. Solid boxes run by themselves; dashed boxes are where a person decides.
- Automated step (solid border)
- A person decides (dashed border)
- Consent or calling rule
-
Automated step: The enquiry comes in
A call, a form or a message lands in one list with the job type, address and any photos the customer chose to send.
-
Automated step: A missed call gets a reply
If you are on the tools, the AI receptionist (launching soon) will answer and say it is an AI, or the caller gets a text back with a link to book in.
- Sparks, a burning smell or a shock. The caller is told to call 000 if anyone is in danger, and you are alerted at once. The system gives no electrical advice.
- Everything else. The details are taken and the caller is offered a time or a call back.
-
A person decides: You write or approve the quote
The job details and your price list are pulled together into a draft. You check it, adjust it and send it. Every quote is yours.
-
Automated step: The quiet quote gets a follow-up
If the quote has had no answer after the gap you set, a short follow-up goes out, and stops when they reply.
-
Automated step: Booking and reminder
An accepted quote becomes a booking in your calendar, and the customer is reminded before the job.
-
A person decides: You do the job and the paperwork
The work, the test results and any certificate your licence requires are yours to complete and sign. The system only stores them with the job.
-
Automated step: The invoice goes out
The invoice is drafted from the job record and quote, so the materials and hours are not typed twice. You send it, or set it to send once you mark the job done.
-
Automated step: Overdue invoices are chased
Polite reminders follow on the schedule you set and stop the moment the invoice is paid. Anything disputed comes to you.
This is an example workflow, not a client's system. The exact steps depend on your tools, your customers' consent and the controls agreed before anything runs. Steps marked SMS are built to run by text message. Our SMS service is not live yet, so those steps will not text anyone until it is; your written quote states what runs from day one.

The rules this electrician
workflow keeps.
- Safety first. Nothing automated gives electrical advice. A report of danger is answered with "call 000 if anyone is in danger" and an alert to you.
- Texts and the Spam Act. Every text names your business and how to reach you, and carries a working opt-out that is honoured within five working days.
- The AI receptionist. Launching soon. At launch, it says it is an AI and passes anything it cannot handle to a person.
